Firehouse Detail – Terms of Service
Section 1: General Terms for Customers
1.1 Overview
By booking any service with Firehouse Detail ("Company", "we", "our", "us"), you ("Customer", "client", "you", "your") agree to the following Terms of Service. These terms apply to all mobile auto detailing services rendered by Firehouse Detail and establish the limits of our responsibility.
Under no circumstance shall Firehouse Detail be held liable for any damage, loss, or incidental costs incurred during or after the provision of services. While we are committed to high service standards, our liability is strictly limited.
We may, in good faith, offer corrective actions if damage occurs as a direct result of our service. However, we will not be responsible for any issues or damage — even if caused by us — on vehicles 7 years or older, due to the unpredictable nature of aged components and materials.
1.2 Interior Detailing Services
Interior detailing includes the cleaning and restoration of surfaces such as fabric, leather, vinyl, plastics, and glass.
Access Required: Clients must ensure full access to all interior compartments.
Pre-Existing Conditions: Firehouse Detail is not responsible for damage to materials that are brittle, cracked, or heavily worn.
Customer Responsibilities:
Remove all personal items and valuables.
Notify us of any areas of concern or known sensitivities (e.g., custom electronics, pet damage).
Pet Hair, Mold, Odors: Excess contamination may incur additional fees or be declined.
Vehicle Age Clause: No liability for damage to vehicles aged 7 years or older.
1.3 Exterior Detailing Services
Exterior services involve cleaning, polishing, protection, and cosmetic enhancement of paint, trim, wheels, and exterior surfaces.
Surface Damage Disclosure: We do not accept liability for damage to aftermarket paint, clear coat failure, rust, or existing imperfections that become visible after detailing.
Paint Correction Risks: While precautions are taken, even professional polishing can result in minimal clear coat thinning or surface disruption.
Plastics & Trim: Older plastics may fade or deteriorate further during cleaning. We do not guarantee restoration results.
1.4 Appointments, Cancellations, & Rescheduling
Scheduling: All services require confirmed appointments.
Arrival Window: A 1–2 hour service window is standard due to varying traffic and job durations.
Customer Not Present: If you are not available during the service, ensure we have access and any specific instructions in advance.
Cancellation Policy:
48-hour notice is required for cancellations.
Cancellations under 48 hours result in forfeiture of deposit.
Rescheduling:
One courtesy reschedule is allowed per booking.
A new deposit may be required for further changes or no-shows.
Weather Delays: Firehouse Detail reserves the right to reschedule due to rain, wind, or unsafe conditions.
1.5 Deposits & Payment Terms
Booking Requirement: A non-refundable $50 deposit is required to reserve a service appointment.
Non-Refundable Policy: Deposits will not be refunded under any circumstance, including cancellations, weather, or client rescheduling.
Remaining Balance: Payment is due in full upon completion of the service.
Accepted Payments: Cash, major credit/debit cards, and select mobile payment platforms.
Non-Payment Consequences: Balances not paid within 24 hours may be sent to collections and incur late fees.
1.6 Liability Limitation & Age of Vehicle Clause
General Release: The customer releases Firehouse Detail from any liability for:
Any pre-existing or worsened condition.
Surfaces or systems failing due to age.
Any damage to vehicles 7 years or older — even if related to our service.
Good Faith Corrections: We may choose to offer follow-up services or goodwill gestures but are not legally obligated to do so.
Vehicle Age Disclaimer:
Customers acknowledge the increased risk of cleaning older vehicles.
We are not responsible for issues related to aging materials, trim, electronics, paint, or seals.
1.7 Service Requirements: Water & Power Access
Client Responsibility: Customers are required to provide access to:
A functional outdoor water spigot (within 100 feet of the vehicle).
A working electrical outlet (standard 110V).
No Utilities, No Service: If water or power is not available on-site, Firehouse Detail reserves the right to cancel or reschedule the appointment without refund of deposit.
Advance Notice: If utilities are not available, the customer must notify us in advance. We may offer a solution at an additional charge if agreed beforehand.
Apartment/Complex Clients: If you reside in a location without direct water or power access, it is your responsibility to secure written permission from management or to provide an alternate location for service.
Section 2: Commercial, Fleet & Government Clients (Including Fire Departments & Public Safety Units)
2.1 Overview
This section applies to clients representing any business, municipal entity, or public agency, including but not limited to fire departments, police departments, EMS units, security firms, and fleet managers ("Client," "you," "your"). By engaging Firehouse Detail ("Company", "we", "our", "us") for detailing services on commercial or government-owned vehicles, you agree to the terms outlined below.
Our goal is to serve our first responder and public agency partners with integrity, efficiency, and respect. However, all services are performed under strict terms designed to protect both parties and establish expectations clearly. We assume no liability for any damage or loss unless otherwise stated, and services are provided as-is, with no guarantees.
2.2 Scope of Work
Eligible Vehicles: We provide mobile detailing for all sizes of commercial and emergency vehicles, including but not limited to:
Fire engines, ladders, tankers, ambulances
Police cruisers, SUVs, command vehicles
Utility trucks, service vans, marked/unmarked units
Service Types:
Interior deep cleaning, sanitation, odor treatment
Exterior wash, decontamination, wax/protectant application
Decal-safe washing, oxidation removal (where applicable)
Headlight restoration, wheel/tire brightening
Customization: Service plans may be tailored based on department or fleet needs, budget cycles, or rotating schedules.
2.3 Access, Coordination & On-Site Requirements
Facility Access: Client is responsible for ensuring access to the premises, parking areas, and vehicle keys at the scheduled service time.
Fleet Scheduling: Multi-unit service schedules must be coordinated with a designated department contact. We require a vehicle list at least 48 hours prior to service.
Water & Power Access:
A standard outdoor water source and 110V outlet must be available.
If unavailable, the Client must inform us in advance; failure to do so may result in rescheduling and applicable charges.
Security Protocols: Firehouse Detail personnel will comply with on-site access protocols, including ID verification, sign-in procedures, or escort requirements.
2.4 Liability Waiver
Damage Exemption: Firehouse Detail shall not be held liable for:
Pre-existing damage, loose components, outdated or weather-exposed decals
Malfunctions of aging or specialized vehicle systems
Equipment failure or exposure of materials during cleaning (e.g., radios, sirens, light bars, control panels)
Older Vehicles: For commercial or public safety vehicles 7 years or older, Firehouse Detail accepts no responsibility for results or outcomes from cleaning, detailing, or chemical exposure.
Good Faith Policy: If an issue arises due to our actions, we may, at our sole discretion, offer corrective services or compensation. This does not imply acceptance of liability.
2.5 Interior Services – Commercial Clients
Biohazards & Exposure: If interior surfaces are contaminated with blood, vomit, mold, or other biohazards, the client must disclose this in advance. Additional biohazard fees will apply, or the vehicle may be refused service.
Electronics & Controls: Sensitive or mission-critical electronics should be powered down or protected before detailing. Firehouse Detail is not responsible for the operation of any electrical components post-service.
Equipment Storage: Clients must secure any tools, firearms, oxygen tanks, or specialized rescue gear prior to service.
2.6 Exterior Services – Commercial Clients
Decals & Reflective Film: While we use non-abrasive processes, Firehouse Detail is not responsible for peeling, discoloration, or damage to decals, reflective vinyl, or wraps, particularly on older or weather-worn vehicles.
Mounted Equipment: Roof racks, sirens, antennas, and external components may be gently cleaned but are not guaranteed to be spotless due to structural limitations.
Paint Conditions: We are not liable for fading, oxidation, or paint/clear coat damage, especially on high-mileage or exposed-duty vehicles.
2.7 Scheduling, Rescheduling, & Cancellations
Group Bookings: Fleet and department clients must provide at least 48 hours’ notice for cancellations or adjustments to group appointments.
Emergency Response Priorities: We understand that fire and law enforcement units may be called away during or before their scheduled service. In such cases, we will do our best to return, reschedule, or shift focus to another available vehicle without penalty.
Late Access or Inaccessibility: Delays due to vehicle unavailability or access issues may incur stand-by fees unless advance notice is given.
2.8 Invoicing & Payment Terms
Deposit Policy: Commercial clients may be billed without deposit upon approval or contract. First-time agency clients may require a $50 per vehicle deposit unless otherwise arranged.
Net Terms: Net 15 or Net 30 invoicing terms are available upon request. Default terms are due upon completion unless otherwise stated in writing.
Unpaid Balances: Invoices not paid by the due date may incur a 2% late fee per month. Continued non-payment may result in service suspension and third-party collections.
Purchase Orders & Government Billing: Accepted with prior approval. Contact us to provide W-9, insurance certificates, or vendor registration as needed.
2.9 Insurance & Compliance
Business Insurance: Firehouse Detail maintains general liability insurance and can provide COIs (Certificates of Insurance) upon request.
Staff Conduct: Our technicians are trained, uniformed, and professional. Background checks can be provided for access-restricted facilities upon request.
Compliance: We comply with local, state, and federal safety standards. Our cleaning chemicals are environmentally compliant and appropriate for use on government and service vehicles.
